We act as the data controller when processing our Clients data and we are committed to protecting and respecting your privacy.
How do we collect information from you?
We collect information about from our employees when they register as employee using our starter forms. We can also collect information from our clients when we provide services to them.
What type of information is collected from you?
The personal information we collect might include your name, address, date of birth, National insurance number, email address, Mobile phone numbers and information regarding their employment as per HM Revenue and other legal requirements. We will store and use this information to process payroll and employment related activates. We keep this information up to the periods as required HMRC /Legal requirements.
How is your information used?
We may use your information to:
- Process payroll for our employees and clients.
- Notify HMRC and other Government bodies as per legal requirements.
- Notify employees about their payments.
- Send you communications which you have requested that may be of interest to you.
Legitimate Interests
On occasions we may use your personal information under the legal basis of legitimate interests. An example of this is sending payslips to employee’s emails and sending text messages with pay related information as requested by employees. (We have to provide these as per HMRC / Legal requirements)
Who has access to your information?
We will never sell or rent your information to third parties. We will never share your information with third parties for marketing purposes.
We may pass your information to our HMRC / Government /Local authorities as per legal requirements.
Keeping your information secure
Our website uses SSL encryption to ensure that all personal information is handled in a secure manner. Most web browsers show a green padlock symbol to confirm when an SSL encryption is in place.
We also take further steps to keep your data secure and protect against unauthorised access including the use of Firewalls, Antivirus/Malware protection and blocking access to suspicious traffic.
How to access, update and remove your information
We always try to ensure our data is as accurate as possible. We therefore encourage employees / clients to update their new data, especially around email address, telephone numbers and home addresses via e-mail or text messages. (We only accept it form employees registered e-mail / mobile numbers and we may also ask provide additional details for security verification) If you believe the data we hold about you is incorrect then please contact us and we will update this in our systems as soon as is reasonably possible.
You have the right to ask for a copy of the information M&S On-Time services Ltd hold about you. There is no charge to have a copy of this information. However, further copies of the same information may result in a reasonable administration fee. This information will be provided within 28 days of request.
If you wish for us to stop holding your personal data then you have the right to have this information removed from our systems. However, in accordance with UK tax law; we are required to securely store basic personal data of our employees / clients for a minimum of six years.

Fulfilment and Financial Records: are kept for as long as required under financial regulations; after which time we may delete such records; typically after seven years
Website Account: We reserve the right to delete your website account if your account has not been used for an extended period.

M&S On-Time services Ltd do not use cookies on their website.
